Terms and Conditions
These terms apply to bookings of expedition and travel services that you request from us through our website.
§ 1Scope and contracting parties
These terms and conditions apply to contracts for the travel and expedition services described on armeniaexpeditions.com, concluded between Armenia Expeditions LLC (Movses Khorenatsi Street 37/1, Yerevan, Armenien) and the traveller.
Armenia Expeditions LLC provides these services with its own team as well as with local service providers (including accommodation, vehicles, and guides) in Armenia and across the Caucasus.
§ 2Formation of the contract
The presentation of a trip on our website is not yet a binding offer, but an invitation to enquire. By submitting the enquiry form, the traveller requests a binding offer; no contract is formed at this stage.
We check availability and, as a rule, respond within 24 hours with a booking confirmation. The contract is only formed once we send this confirmation.
§ 3Services and changes
The scope of the contractual services follows from the relevant tour/service description and the booking confirmation. We reserve the right to make immaterial changes to individual services (for example, an equivalent substitute for a particular accommodation), provided the overall quality of the trip is not affected.
We will inform you of any material change as early as possible before the start of the trip.
§ 4Payment: deposit online, balance on arrival
On booking confirmation, the traveller receives a personal payment link for a deposit of 20% of the trip price. This link is valid for 48 hours.
The remaining trip price falls due on the first day of the trip in Yerevan, as part of the welcome briefing. Card is preferred; cash in euros or US dollars works too, and other major currencies on request; a bank transfer before arrival is also possible on request. If the traveller pays in a currency other than euros, we convert at the Central Bank of Armenia (CBA) daily rate on the day of payment. We issue a receipt for every payment.
If the deposit is not paid in time, we may, after a reminder with a reasonable grace period, withdraw from the contract and charge the amounts set out in the cancellation schedule.
§ 5Withdrawal by the traveller and cancellation schedule
The traveller may withdraw from the booking by email at any time before the start of the trip. Depending on how much notice is given before departure, we retain part of the deposit already paid as compensation for expenses incurred; the amount retained is always capped at the deposit — the traveller never owes anything beyond that. The schedule in detail:
Cancellation schedule
| Notice before departure | What we retain |
|---|---|
| ≥ 60 days | Deposit refunded, minus a 50 € per-person processing fee |
| 59–30 days | 50% of the deposit retained (10% of the trip price) |
| 29–15 days | Full deposit retained (20% of the trip price) |
| 14–0 days / no-show | Full deposit retained (20% of the trip price) |

The retained amount is always capped at the deposit — no further costs are ever charged.
§ 6Cancellation by us
Should we be unable to carry out a booked trip for a compelling reason (for example, unavoidable and extraordinary circumstances at the destination), we will inform the traveller without delay and refund all amounts already paid in full.
§ 7Duty to cooperate, travel documents, health
The traveller is personally responsible for holding valid travel documents and any visas required for Armenia and the other countries visited, and for informing themselves about entry and health requirements. We point out generally known requirements, but this cannot replace an individual check.
On off-road and self-drive legs, our guides' safety instructions must be followed. Any defect in a travel service must be reported to us or our local service providers without delay, so that it can be remedied.
§ 8Liability
Armenia Expeditions LLC is liable without limitation, in accordance with the applicable statutory provisions, for damages arising from injury to life, body, or health, and for damages caused by intent or gross negligence.
For other damages, liability is limited, to the extent permitted by law, to three times the trip price. Mandatory statutory liability rules of the traveller's country of residence remain unaffected.
§ 9Applicable law
Contracts with Armenia Expeditions LLC are governed by Armenian law. Where the traveller is a consumer with habitual residence in a member state of the European Union, the mandatory consumer-protection provisions of that state of residence remain unaffected by this choice of law (Art. 6(2) Rome I Regulation).
§ 10Data protection
Information on the processing of personal data, including the transfer of data to our home country, Armenia, is available in our privacy policy (armeniaexpeditions.com/privacy).
§ 11Dispute resolution
We are not willing and not obliged to take part in dispute-resolution proceedings before a consumer arbitration board.
